Feedback That Helps: Be Clear Without Sounding Harsh
Editorial
Good feedback is not just about being honest; it is about being useful. In many teams, people avoid feedback because they worry it will sound harsh. But silence often creates bigger problems later. A helpful approach is to be specific, calm, and focused on results.
Start by describing what you saw, not what you think the person is. For example, say, "The report had three missing numbers," instead of "You are careless." This keeps the conversation about work, not personality. It also makes it easier for the other person to respond without getting defensive.
Then explain the impact in a simple way: what did it change, delay, or confuse? When people understand the impact, they are more likely to take action. You can also ask a question, such as, "What got in the way?" This turns feedback into problem-solving.
Offer one clear next step, and keep it realistic. Instead of giving a long list, pick the most important change. For instance, "Can you add a quick checklist before sending?" A small, concrete step is easier to remember and repeat.
Finally, keep your tone neutral and your timing thoughtful. If someone is stressed or in public, wait for a better moment. You can end with support: "I know you can fix this, and I can help if you want." That mix of clarity and respect makes feedback land well.
